Power BI Consulting Pricing Guide

This Power BI consulting pricing guide explains what I charge and why. I get asked “how much does a Power BI project cost?” on almost every first call. The honest answer is “it depends”, so this page explains exactly what it depends on. Prices are in USD. Every project starts with a free discovery call, and the price is set after it, based on complexity and how clearly the requirements are defined.

Hourly rate

$50 per hour for consulting, troubleshooting, small changes, DAX and data model help, or ad-hoc reporting work. 

Power BI consulting pricing by project

Power BI Health Check / Audit

Model optimization or review of an existing report or semantic model: data model design, DAX performance, refresh setup, security and usability. You get a written list of issues and recommended fixes, ranked by impact.

  • Typical price: $200 – $500
  • Typical duration: 3 days

Single Power BI dashboard

One report built from up to 3 data sources (Excel, SQL, SharePoint, ERP), including data model, measures, design and publishing to the Power BI Service.

  • Typical price: $2000 – $5000
  • Typical duration: 3 weeks

Power BI for Acumatica: finance dashboard pack

Finance-ready dashboards connected directly to Acumatica (via OData / Generic Inquiries): GL and P&L, balance sheet, A/R and A/P aging, cash flow, inventory and variance analysis. Includes hands-on training for your finance team.

  • Typical price: $2000 – $6000
  • Typical duration: 3–6 weeks

Reporting process automation

Replacing manual report preparation with automated refresh and distribution using Power BI and Power Automate: scheduled refreshes, emailed snapshots, alerts and file processing.

  • Typical price: $500 – $1000
  • Typical duration: 1 week

Data model and DAX optimization

Rebuilding a slow or fragile model: star schema, calendar table, measure cleanup, incremental refresh and performance tuning.

  • Typical price: $500 – $1000

Monthly support retainer

A fixed number of hours each month for changes, new measures, fixes and questions, with priority response.

  • Typical price: $50 per  hours

Power BI training

  • 1:1 session (online): $70 per hr
  • Team workshop (online, up to 20 people): $ 1000 per day

What makes the price go up or down

  • Number and type of data sources. One clean Excel file is quick; five systems that need to be matched together are not.
  • Data quality. Missing keys, duplicates and inconsistent naming add cleanup time.
  • ERP connection complexity. For Acumatica, whether the Generic Inquiries you need already exist, and how much data has to be loaded.
  • Number of pages and audiences. A single executive view costs less than separate views for finance, sales and operations.
  • Security. Row-level security (for example, each manager sees only their branch) adds design and testing time.
  • Refresh and automation needs. Daily refresh is standard; near real-time, alerts and automated distribution add work.
  • Licensing and environment. Power BI Pro, Premium Per User or Fabric capacity affects what is possible, but not my fee. See Microsoft’s Power BI pricing for license costs.
  • Documentation and handover. Detailed documentation and training sessions are included in larger packages and can be added to smaller ones.

Add-ons

  • Extra report page or audience view: $ 100- $ 500
  • Row-level security setup: $100
  • Written documentation (BRD and Calculation/Model description) of the model and measures: $100-300$
